Connect Xero
Overview
Book It Fast integrates with Xero to automatically sync your booking invoices and payments with your accounting software. Once connected, your bookings are pushed to Xero as invoices, keeping your books up to date without manual data entry.
Before You Start
- You need an active Xero account
- You should have your tax settings configured in Book It Fast first (see Tax Settings) — these should match your Xero setup
- You need to be an admin or have permission to authorise third-party connections in Xero
How to Connect Xero
- In your admin panel, go to Integrations (found under Organisation Settings in the sidebar, or via the sidebar shortcut)
- Find the Xero Integration card
- Click the settings icon (gear icon) on the card
- Click Connect to Xero
- You will be redirected to Xero’s authorisation page
- Sign in to your Xero account and select the organisation you want to connect
- Grant Book It Fast permission to access your Xero data
- You will be redirected back to Book It Fast. The Xero card will now show a green checkmark with your connected organisation name
What Gets Synced
- Invoices — Booking invoices are created in Xero when orders are generated
- Payments — Payment records are synced when guests pay through Stripe
- Contacts — Guest details are added as contacts in Xero
Managing Your Xero Connection
Once connected, you can manage your Xero integration from the Integrations page:
- Click the settings icon on the Xero card to view connection details
- Disconnect and reconnect if you need to switch Xero organisations
- Check the connection status — a green “Integrated with [Organisation Name]” message confirms it is working
Tips
- Make sure your currency in Book It Fast matches your Xero organisation’s base currency
- Your tax type settings should align between Book It Fast and Xero for accurate reporting
- If you disconnect and reconnect, existing synced data in Xero is not affected
- Book It Fast also supports QuickBooks as an alternative accounting integration if you prefer
